1.2 Acceptance of Terms

3.1 Service Description
Bahrain Event Rentals offers the following services:

- Wedding, birthday, and corporate event packages
- Customized event solutions
3.2 Service Scope
Our services include:
- Equipment rental for specified period
- Delivery to event location in Bahrain
- Setup and installation by our team
- Basic maintenance during rental period
- Collection and return of items
Services DO NOT include:
- Extended delivery outside Bahrain (without special arrangement)
- Permanent installation or modifications
- Professional event planning (unless separately contracted)
- Catering or food services
- Entertainment or talent services
- Cleaning services (post-event cleanup)
3.3 Event Information Required
When booking, you must provide:
- Event date and time
- Specific event type (wedding, birthday, corporate, etc.)
- Event location and venue details
- Number of guests expected
- Specific items and quantities needed
- Setup and decoration preferences
- Any special requirements or constraints
- Insurance details (for high-value events)
3.4 Verification
We reserve the right to:
- Verify event details and purpose
- Confirm venue suitability
- Assess site conditions
- Request additional information
- Refuse service if concerns arise
4. BOOKING AND RESERVATION PROCESS
4.1 How to Book
You may book by:
- Filling out our online booking form on the Website

4.2 Booking Confirmation
After submitting a booking request:
- We will send a quotation with itemized pricing

4.3 Booking Details
Your booking confirmation will include:
- Booking reference number
- Event date and time
- Event location
- Itemized list of rented items
- Total cost breakdown
- Delivery and setup schedule
- Payment status
- Terms and conditions summary

4.4 Reservation Hold
Booking requests are held for a maximum of 7 calendar days. After 7 days:
- If payment is not received, the booking may be canceled
- Items may be allocated to other customers
- You will lose preferred dates if not confirmed
4.5 Availability
Availability is subject to:
- Item stock and condition
- Staff availability for delivery/setup
- Event calendar conflicts
- Reasonable request notice (minimum 3-5 days recommended)
5. PAYMENT TERMS
5.1 Pricing
All prices quoted are in Bahraini Dinar (BHD) unless otherwise specified. Prices include:
- Rental cost of items
- Basic delivery within Manama and surrounding areas
- Setup and installation labor
- Equipment collection
Prices do NOT include:
- Deliveries to remote locations (additional fees apply)
- Extended rental periods (daily or weekly additional charges)
- Damage repairs or replacements
- Specialized setup or custom requests (as separately quoted)
- Taxes (if applicable)
5.2 Payment Methods
We accept payment through:
- Bank transfer (local Bahrain banks)
- Credit/Debit cards (VISA, MasterCard)
- Cash payment (upon prior arrangement)
- Online payment gateway (secured)
5.3 Payment Schedule
Down Payment (Deposit)
- Amount: 100% of total rental cost (as per FAQ)
- Timing: Required within 24 hours of booking confirmation
- Purpose: Reserve equipment and confirm booking
- Refund: Subject to cancellation policy (Section 6)
Full Payment
- Due Date: 24 hours before event date
- Amount: Any outstanding balance (usually 100% deposit covers full amount)
- Consequences: Late payment may result in booking cancellation
5.4 Payment Authorization
By providing payment information, you authorize us to:
- Process payment on agreed dates
- Charge for damages or losses (as outlined in Section 7)
- Collect late fees if applicable
- Attempt collection if payment fails
5.5 Invoices and Receipts
Upon request, we will provide:
- Itemized invoices for tax and accounting purposes
- Payment receipts after transaction
- Detailed booking summary
6. CANCELLATION AND RESCHEDULING
6.1 Cancellation Policy

Note: Perishable items (flowers, specialty décor) are NON-REFUNDABLE in all cases.
6.2 Rescheduling
Rescheduling to a different date:
- Allowed with minimum 45 days’ notice
- No rescheduling fee if rescheduling within 45+ days
- Full payment remains valid for rescheduled date
- Subject to equipment availability
- Must be rescheduled within 12 months of original date
- Perishable items must be re-ordered and charged separately
6.3 Refund Processing
Refunds will be:
- Processed within 24 hours of cancellation approval
- Credited to original payment method
- Refunded to bank account via bank transfer within 3-5 business days
- Accompanied by refund confirmation email
6.4 Non-Refundable Circumstances
No refunds will be provided for:
- Customer cancellation within 15 days of event
- Non-attendance or no-show (full charge applies)
- Cancellations due to customer’s circumstances (personal emergencies, weather preference, etc.)
- Events canceled by customer after 50% payment received
- Perishable or custom-ordered items
6.5 Company-Initiated Cancellation
We may cancel if:
- Customer violates these Terms and Conditions
- Event purpose is illegal or unethical
- Deposit is not received by deadline
- Customer provides false information
- Venue is unsafe or unsuitable
In these cases:
- 100% refund will be provided (if we cancel through no fault of customer)
- We will provide notice as soon as practicable
- Alternative solutions will be offered if possible
6.6 Force Majeure and Unforeseeable Events
We are not liable for cancellations due to:
- Natural disasters, earthquakes, storms
- Pandemic, disease outbreak, or government lockdowns
- War, terrorism, civil unrest
- Government-mandated event restrictions
- Venue unavailability or closure
- Utility failures, power outages
In these cases:
- Full refund will be provided, OR
- Booking will be rescheduled without charge (if customer chooses)
- Perishable items may be considered non-refundable
7. DAMAGE, LOSS, AND RESPONSIBILITY
7.1 Customer Responsibility
You are fully responsible for:
- All rented items during the rental period
- Safeguarding items against damage, loss, or theft
- Proper use of equipment according to guidelines
- Maintaining venue conditions
- Ensuring proper setup and supervision
7.2 Damage Classification
Normal Wear and Tear (No Charge)
- Minor scratches or scuffs from normal use
- Fading from sun exposure
- Small stains that can be cleaned
- Minor creases in fabric
Damage Requiring Repair or Replacement (Full Charge)
- Large stains, tears, rips, or discoloration
- Structural damage (broken legs, cracked surfaces)
- Missing components or hardware
- Burn marks or hole damage
- Paint or varnish damage
- Dents or deep gouges
Loss or Theft (Replacement Cost)
- Items not returned by pickup date
- Items reported as lost or stolen
- Items removed from event without authorization
- Intentional damage or destruction
7.3 Damage Assessment and Charges
Process:
- We will inspect all items upon collection
- Photos will be taken of any damage
- Damage assessment report will be issued within 24 hours
- Repair/replacement quote will be provided
- Customer will have 24 hours to dispute assessment
- Charges will be processed within 48 hours of confirmation
Damage Charges
- Cleaning (stains, dirt): BHD 10-50 per item
- Minor repairs (loose hardware, small tears): BHD 25-100
- Significant repairs (structural damage): BHD 75-300
- Full replacement (total loss/destruction): Full item value
- Custom items: Actual replacement cost + 20% restocking fee
7.4 Liability Limitations
We are NOT responsible for:
- Damage caused by customer negligence or misuse
- Damage from improper care or storage
- Loss due to theft (venue/customer responsibility)
- Structural damage to venue
- Injury to guests or attendees
- Weather-related damage (not covered by insurance)
- Items taken from our care without permission
7.5 Insurance
For high-value events (>BHD 5,000 rental value):
- We may require proof of event liability insurance
- Insurance should cover rented equipment
- Customer may purchase optional damage waiver (non-refundable):
- Cost: 5-10% of total rental value
- Coverage: Accidental damage up to agreed value
- Exclusions: Intentional damage, theft, normal wear
7.6 Third-Party Injuries or Property Damage
We are NOT liable for:
- Injuries to guests or attendees
- Damage to venue or neighboring property
- Food poisoning or health issues
- Accidents occurring during event
- Personal injuries from equipment use
Customer must maintain appropriate liability insurance.
8. DELIVERY, SETUP, AND COLLECTION
8.1 Delivery Areas
We offer delivery to:
- Standard areas: Manama, Riffa, Muharraq, Hamad Town (no extra charge)
- Extended areas: Sitra, Zallaq, Al Jasra, Awali (additional fee applies)
- Remote areas: Outside Bahrain (requires special arrangement and shipping fees)
8.2 Delivery Schedule
Delivery timing:
- Daytime events: Delivery by 8:00 AM on event day
- Evening events: Delivery by 2:00 PM on event day
- Early morning events: Delivery previous day (by 5:00 PM)
- Multi-day events: Delivery day before event commencement
Customers may request alternative delivery times (additional charges may apply).
8.3 Setup and Installation
We provide:
- Basic assembly and positioning of items
- Basic decoration arrangement (as discussed in booking)
- Connection of electrical items (if applicable)
- Safety checks and stability verification
Setup time required:
- Small events (20-50 items): 1-2 hours
- Medium events (50-100 items): 2-4 hours
- Large events (100+ items): 4-6+ hours
8.4 Venue Access and Conditions
Customer must ensure:
- Venue access is available for delivery personnel
- Adequate space for items (confirm with us during planning)
- Suitable flooring (concrete, tiles, or stable ground)
- Protection from elements (tent, building, or covered area)
- No structural obstacles or hazards
- Parking available for delivery vehicle
- Clear pathways for carrying items
8.5 Venue Suitability
We reserve the right to refuse setup if:
- Venue is unsafe or poses risk to items/staff
- Flooring cannot safely support equipment
- Weather conditions are dangerous (high winds, storms)
- Access is impossible or dangerous
- Requested setup is impractical or unsafe
In such cases:
- Event will be rescheduled
- Full refund will be provided
- Alternative solutions will be offered
8.6 Collection and Return
Collection details:
- Standard collection: Next day after event (by 6:00 PM)
- Mandatory return date: As specified in booking agreement
- Late return: Charged at 10% of daily rental rate per day
- Maximum delay: 7 days without additional notice
- After 7 days: Items considered abandoned, additional fees apply
Return requirements:
- Items must be clean and in original condition
- All items must be returned (count verified)
- Damages must be reported immediately
- Items must be available at agreed location
- Packing and loading by customer (unless arranged otherwise)
8.7 COVID-19 and Health Protocols
In compliance with Bahrain health authorities:
- Staff follow strict hygiene and safety protocols
- Equipment is sanitized before delivery
- Contactless payment options available
- Virtual setup consultations available if needed
- If health restrictions prevent service, refunds will be provided
9. CUSTOMER CONDUCT AND EVENT REQUIREMENTS
9.1 Event Restrictions
You agree that rented items will NOT be used for:
- Illegal activities or events
- Events violating Bahrain laws or Islamic principles
- Activities that endanger public health or safety
- Events with discriminatory, hateful, or violent purpose
- Unlicensed commercial events (without proper permits)
- Activities causing public disturbance
9.2 Alcohol and Substance Policy
If your event involves alcohol:
- You are responsible for legal compliance
- You must follow Bahrain alcohol regulations
- You acknowledge company is not responsible for legal violations
- Equipment may not be used to facilitate illegal drug use
9.3 Guest Conduct
You are responsible for:
- Controlling guest behavior
- Ensuring proper use of rented equipment
- Preventing theft or damage by guests
- Maintaining venue safety and security
- Following any venue-specific rules
We are NOT responsible for:
- Guest misconduct or injuries
- Guest-caused damage (you are liable)
- Violence or criminal activity during event
- Property damage by attendees
9.4 Noise and Disturbance
You are responsible for:
- Complying with Bahrain noise ordinances
- Respecting neighborhood quiet hours
- Managing music/entertainment volume
- Notifying venue and neighbors of event schedule
9.5 Photography and Recording
By booking with us:
- You consent to photos of your event for our portfolio
- You consent to us using event photos on our Website/marketing (with faces obscured if desired)
- Photos remain our property
- You may request photo removal at any time
10. CUSTOMER DATA AND PRIVACY
10.1 Information Collection
We collect personal data for:
- Processing bookings and payments
- Event coordination and delivery
- Customer communication
- Marketing and service improvements
- Legal and regulatory compliance
10.2 Data Usage
Your data will be:
- Used only for stated purposes

11. LIMITATION OF LIABILITY
11.1 Service Limitations
Bahrain Event Rentals provides services “AS IS” without warranties. We do not guarantee:
- Uninterrupted service availability
- Error-free Website operation
- Perfect item condition (normal wear expected)
- Specific event outcomes or atmosphere
- Guest satisfaction or approval
11.2 Disclaimer of Warranties
TO THE MAXIMUM EXTENT PERMITTED BY BAHRAIN LAW:
- We disclaim all warranties, express or implied
- No warranty of merchantability or fitness for particular purpose
- No warranty of non-infringement
- No warranty of title or quiet enjoyment
- Services provided without guarantee of results
11.3 Liability Cap
Our total liability for any claim shall not exceed:
- The total amount paid by customer for the event rental, OR
- BHD 500, whichever is greater
11.4 Excluded Damages
We are NOT liable for:
- Indirect damages (lost profits, lost business opportunities)
- Incidental damages (inconvenience, emotional distress)
- Consequential damages (cascading event failures)
- Punitive damages
- Special damages (except as required by law)
- Lost revenue or business
11.5 Events Beyond Our Control
We are not liable for failure to perform due to:
- Acts of God (natural disasters, earthquakes, storms)
- Pandemics, epidemics, or health crises
- Government action, war, or terrorism
- Labor disputes or strikes
- Utility failures or power outages
- Accidents or unforeseeable circumstances
12. INDEMNIFICATION
12.1 Customer Indemnification
You agree to indemnify, defend, and hold harmless Bahrain Event Rentals from:
- Third-party claims arising from your use of services
- Injuries or deaths at your event (caused by your negligence)
- Damage to venue or neighboring property (caused by your event)
- Violations of law or regulation by you
- Breach of these Terms by you
- Intellectual property infringement claims (from your use)
- All associated legal fees and expenses
12.2 Our Indemnification
We will indemnify you for:
- Our gross negligence or willful misconduct
- Our violation of Bahrain law
- Defects in items (hidden defects present at rental)
- Our staff’s violation of these Terms
13. DISPUTE RESOLUTION
13.1 Informal Resolution
Before taking legal action:
- Contact us in writing with complaint details
- Provide documentation and evidence
- Allow us 7 days to investigate
- Discuss resolution options in good faith
- Attempt to negotiate mutually acceptable resolution
13.2 Escalation Process
If not resolved informally:

- Provide detailed description, damages, and requested resolution
- We will respond within 14 days with formal decision
- Either party may pursue legal action if not satisfied
13.3 Mediation
Either party may propose mediation:
- Neutral third-party mediator
- Costs shared equally
- Conducted in Bahrain or via video
- Good-faith participation required
13.4 Governing Law
These Terms are governed by:
- Bahrain Law (primary jurisdiction)
- Bahrain commercial law and regulations
- Islamic law principles (Sharia) where applicable
- International best practices for dispute resolution
13.5 Jurisdiction
- Disputes shall be resolved in Bahrain exclusively
- Proper jurisdiction: Bahrain courts
- No other jurisdiction has authority
13.6 Arbitration
For disputes exceeding BHD 5,000, either party may elect binding arbitration:
- Administered by DIAC (Dubai International Arbitration Centre) or equivalent
- Single arbitrator or three-member panel
- Arbitration conducted in Arabic or English
- Costs to be determined by arbitrator
14. GENERAL PROVISIONS
14.1 Entire Agreement
These Terms and Conditions, along with:
- Privacy Policy
- Booking confirmation
- Quotation/invoice
- Any signed agreements Constitute the entire agreement between parties and supersede all prior negotiations, understandings, and agreements.
14.2 Amendment Authority
Only written amendments signed by both parties modify these Terms. Verbal modifications are not valid.
14.3 Severability
If any provision is found invalid or unenforceable:
- That provision will be modified to minimum extent necessary, OR
- If modification impossible, provision will be severed
- Remaining provisions remain in full force
- Intent of parties will be preserved
14.4 Waiver
Our failure to enforce any right does not constitute waiver of that right. Selective enforcement does not waive other rights.
14.5 Assignment
You may not assign your rights or obligations without written consent. Assignment without consent is void. We may assign rights to successors or related entities.
14.6 Notices
All notices must be:

- Effective upon receipt (for email) or 3 days (for postal)

17.4 Export Compliance
Equipment rental is limited to Bahrain and immediate surrounding areas. International equipment export is subject to Bahrain customs regulations.
18. ACKNOWLEDGMENT
By using our Website or booking our services, you acknowledge that:

APPENDIX A: FAQ AND CLARIFICATIONS
Q: Can I modify my booking after confirming?
A: Yes, you can request modifications up to 30 days before your event. Modifications are subject to availability. If changes increase cost, additional payment is due. If changes decrease cost, refund will be provided per cancellation policy.
Q: What if my event is canceled by the venue?
A: Provide notice and venue cancellation documentation. Refund will be processed according to standard cancellation policy. We may offer to apply deposit to future event.
Q: Are there any hidden fees?
A: No. Our quoted price is final, including delivery and setup within standard areas. Only taxes (if legally required) and damages are additional charges. Any special requests are quoted separately.
Q: What if it rains on my outdoor event?
A: You are responsible for protecting rented items from weather. We recommend tents or covered areas. Weather is not our responsibility unless you have purchased optional weather insurance.
Q: Can I extend my rental period?
A: Yes, if items are available. Extended days are charged at 10% of daily rental rate. Notify us as soon as possible.
Q: What happens if items are stolen during my event?
A: You are responsible for security. Report theft to police and provide report copy. Submit insurance claim. We will work with you to recover items if possible, but cannot refund if items are stolen due to insufficient security measures.
Q: Do you offer discounts for large events?
A: Yes. For events exceeding BHD 5,000 in rental value, we offer 5-15% discounts. Contact us for custom quotes.
Q: Can I take photos of items before the event?
A: Yes. Photos help verify item condition. Upon collection, we compare conditions to verify any pre-existing damage.
